This is the Privacy Policy of Payworld Belgium B.V. (hereinafter “Payworld,” “we,” “our,” or “us”). Payworld is committed to protecting your personal data. This Privacy Policy is intended to inform you about the processing of personal data in the context of Payworld's activities, including the processing that takes place via the Payworld website. This Privacy Policy should be read in conjunction with our Cookie Policy, which can be found here. 

This Privacy Policy may be amended, for example in connection with new features on the website or to comply with new legal, contractual, or administrative obligations. We therefore recommend that you consult this Privacy Policy regularly. Significant changes will be announced on our website. This Privacy Policy was last amended on 12/01/2026. 

 

Identification of the controller 

Payworld is responsible for processing your personal data. 

Payworld is a private company under Belgian law, with its registered office at Burgemeester Maenhautstraat 44F, 9820 Merelbeke, and registered in the Crossroads Bank for Enterprises under number 0508.605.840. 

 

What personal data does Payworld process, for what purposes, and on what legal basis? 

1. Office visits 

When you visit our office or work for us as a contractor, we process data such as your name, company name, job title, and telephone number. We process this data for the purposes of supplier management and (where applicable) dispute management. 

In addition, we process camera images captured by security cameras and data that we may receive from sources other than yourself, such as your employer or the legal entity you represent. This data is processed in order to protect Payworld's business assets against unauthorized access to its offices.  

If you use the guest Wi-Fi network, we process your email address, the name of the device you use to connect to the network, and the IP address for the proper functioning and protection of the Wi-Fi network.  

The processing of your personal data is based on the performance of an agreement with you or on our legitimate interest in protecting our offices against unauthorized access. 

2. (Potential) customers and partners  

If you are a (potential) customer of Payworld, a partner, or a contact person, we process data such as: 

  • your identification details (such as name, place and date of birth, nationality, address, copies of identification documents, telephone number, place of residence, signature, tax identification number); 
  • your professional details (e.g., company name, position, your mandate as director or manager); 

We process your personal data to provide services to you, for relationship management, to conclude our agreements or sign other documents via electronic signature, to improve our services, for fraud prevention and management of any disputes, and to comply with our legal obligations (such as KYC requirements under anti-money laundering legislation, conflicts of interest, ...). 

The processing of your personal data is based on the performance of an agreement with you, the legal obligations to which Payworld is subject, or our legitimate interest in providing you with the best customer service. 

3. Job applicants 

When you apply for a position with us (both online and offline), we process data such as your name, contact details, resume, grades obtained during your education, your correspondence with Payworld, other documents you provide to us, and data we may obtain about you from headhunters, employment agencies, recruitment agencies, student associations, and/or universities, as well as from social media or other public sources. 

The processing of your personal data for these purposes is based on your consent or our legitimate interest in ensuring that the application process runs smoothly and efficiently. Once we have made a positive decision about your application, we will process your data in order to take steps at your request before entering into an employment contract. 

4. Visiting our website or social media channels 

When you browse our website or visit our social media channels, we process data that we receive from cookie providers and social media networks about your activity on our website or on our pages, such as the profile data of the online social media account you use to contact us, your IP address, the pages you visit, the browser you use, the sites you have previously visited, your language preference, and the time and duration of your visit. The processing of this data is based on your consent (via our cookie banner) or on Payworld's legitimate interest in providing a well-functioning and secure website and pages with content relevant to you. 

5. Contact form 

When you complete our contact form on the website, Payworld processes the personal data you enter in the form, such as your name, telephone number, email address, VAT number, and specific information you include in the comments field.  

The processing of this data is based on your consent or Payworld's legitimate interest in being able to formulate a correct answer to your specific question. 

6. Payworld events 

When you attend our events, we process data such as your name, company name, job title, email address, address, telephone number, photos or videos taken of you during the event, and whether you would like a certificate of attendance. 

The processing of this data is based on your consent, your request to take steps to enter into an agreement, or Payworld's legitimate interest in processing your registration correctly, ensuring that the event and webinars run smoothly, and evaluating our events or webinars. You are free to provide us with your personal data for this purpose and you can withdraw your consent for this purpose at any time or object to the processing for this purpose. 

7. Other contacts 

When you contact us in any way or we obtain your contact details, we process data such as your name, company name, job title, email address, telephone number, the content of your correspondence with Payworld, and other personal data you provide that may be relevant to responding to your contact. 

The processing of this data is based on your consent, your request to take steps to enter into an agreement, or Payworld's legitimate interest in processing your contact correctly. 

Duration of processing and protection of your personal data 

We store and process personal data for a period that is necessary for the purposes of the processing and for the contractual relationship between Payworld and you. Payworld does not store your personal data for longer than is necessary for the purposes described in this Privacy Policy. Longer storage periods may be required by law or contractual obligation, or in the event of a dispute. 

Payworld takes reasonable security measures to protect your personal data against destruction, loss, alteration, or any other unauthorized processing. 

 

Your rights and how you can exercise them 

In certain cases, in accordance with and, where applicable, subject to the limitations of applicable data protection legislation, you may exercise the following rights: 

1. Right of access 

You have the right to obtain from Payworld confirmation as to whether or not personal data concerning you are being processed, and, where that is the case, to obtain access your personal data, specific information and to request a copy of this personal data. 

2. Right to rectification 

You have the right to have incorrect personal data corrected, or incomplete personal data completed. 

3. Right to erasure (“right to be forgotten”) 

In certain cases, you have the right to obtain from Payworld the erasure of personal data concerning you. 

4. Right to object 

You have the right to object to the processing of your personal data if the processing takes place on the ground of the legitimate interest of Payworld or on the ground of the public interest. We will stop the processing unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or for the establishment, exercise or defence of legal claims. 

5. Right to restriction of processing 

In certain cases, you are entitled to obtain the restriction of the processing of his or her personal data. In such cases, with the exception of storage, your personal data will only be processed with your consent or for the establishment, exercise or defence of legal claims or for the protection of rights of another natural or legal person or for reasons of important public interest of the Union or of a Member State. 

6. Right to data portability 

In certain cases, the data subject has the right to receive the personal data concerning him or her, in a structured, commonly used and machine-readable format and/or to transmit those data to another controller. 

These rights can be exercised free of charge by sending an e-mail to privacy@payworld.be. We commit to answering your request within the deadlines prescribed by Applicable Data Protection Law. 

7. Right to withdraw consent 

You can withdraw your consent at any time for the processing of your personal data by Payworld on the basis of your consent. However, the withdrawal of your consent shall not affect the lawfulness of processing based on consent before its withdrawal. 

8. Right to lodge a complaint

Transfer to third parties 

Payworld will not disclose personal data of data subjects to third parties, except in the following specific cases: 

  • Personal data may be shared with external service providers to whom Payworld has outsourced certain processing activities, such as cloud or mailing services. Insofar as these external service providers act as our processors, they will only process your personal data in accordance with our documented instructions and the data processing agreement concluded with them. 
  • If and to the extent required by applicable law or to comply with a court order. 

 

International transfer of your personal data 

In principle, your personal data will only be transferred outside the EEA if an adequacy decision applies to that country or recipient. In other cases where we transfer personal data outside the EEA, we ensure that appropriate safeguards and, where necessary, additional measures are in place to ensure adequate protection of your personal data.
